Who we are
VMS is run by Vehicle Management System Technologies Bangladesh, a sole proprietorship at Venus Complex, Kha-199/3, Merul Badda, Dhaka 1212, Bangladesh, trade licence TRAD/DNCC/041198/2025 (Dhaka North City Corporation). VMS is a technology marketplace: it connects businesses and individuals with independent fleet owners and drivers, and does not own vehicles itself. We decide how the data described here is used.

What we collect
Only what each role needs:
- Businesses and their admins: names, work email and phone, office locations, company papers we check before a contract (trade licence, TIN, BIN), contracts and invoices.
- Employees and riders: name, work email, phone, your WhatsApp number if you add it, your office and pickup area, trip schedule and attendance.
- Fleet owners and drivers: name, phone, the papers we check before you take trips (NID, driving licence, vehicle registration, fitness, tax token, insurance, route permit), and vehicle location during trips if a tracker is connected.
- Individual customers: name, phone, pickup and drop points and your booking history.
- Everyone: sign-in records and security logs, and the messages you send us.
Some papers are read by automated tools to fill in their details. A person at VMS reviews them before anything is approved.
Messages to Safia (email and WhatsApp)
Safia is VMS's booking assistant. When you write to her by email or WhatsApp we receive your email address or WhatsApp number, your message and any attachment, and use them to prepare your booking. After 30 days we remove the message itself and keep only the booking details.
Send STOP on WhatsApp and the assistant stops writing to you. Send START to turn it back on.
If you message VMS without being part of a company that uses Safia, we answer with a menu. We ask once whether we may contact you about VMS. Only if you answer Yes do we keep your number for that, and you can send STOP or ask us to delete it at any time.
How we use it
- To take bookings, plan routes, run trips and bill for them.
- To check papers and keep out duplicate or false accounts.
- To answer you and fix problems.
- To meet our legal duties, such as keeping tax records.
We do not sell your data and we do not use it for advertising.
Who sees it
People on a trip see only what that trip needs. Fleets see headcounts; rider names show only on the stop roster, and phone numbers only if you allow it. Your employer sees the trips booked for you.
We use trusted providers for hosting, email, WhatsApp messaging, the automated tools that read messages and papers, maps, spam protection and the vehicle trackers a fleet owner chooses to connect. They process data only to run their part of the service. Some store data outside Bangladesh. We also share data when the law requires it.
Vehicle location
We record a vehicle's location from its tracker, or from the driver's phone while a trip is running if the driver chooses to share it. Clients and riders can see it only around their own trip, not before or after.
Cookies
We use one cookie, to keep you signed in. We use no advertising or analytics cookies. The blog counts reads without cookies and without storing your IP address.
How long we keep it
- Messages to the assistant: in full for 30 days, then reduced as described above.
- Account details: while your account is open, then deleted within 72 hours of closing.
- Invoices, payments and tax records: kept after closing, as Bangladeshi tax law requires.
Security
Everything travels over encrypted connections. Staff see only what their role needs. Tracker passwords are stored encrypted. We keep a record of who approved each paper and change.
Your choices
You can ask to see the data we hold about you, correct it, or have it deleted. Write to support@vmsbd.cloud; we reply within 2 working days. The steps are on How to delete your data.
Children
VMS is not meant for anyone under 18, and we do not knowingly collect their data.
Changes to this policy
We post every change here and update the date at the top. If a change affects how we use your data, we email account holders first.
